Why Looply

Your SAP works. Getting people to act in it doesn't.

Approvals wait for a login

Requests sit in an SAP inbox until someone happens to check it.

4.3 hours lost, per user, per day

Arch's estimate of what switching between Teams, email and SAP costs.

Email is not an audit trail

Forwarded, buried, untraceable. Nobody can say where a request stands.

Occasional users never learn SAP

A manager approving four things a month won't memorize a transaction code.

What your people see

A card in Teams. Not a training course.

Every detail needed to decide, and two buttons. This is the whole user experience.

The product

Four tools behind that card

Looply is a managed cloud platform. Your team configures it — no development backlog.

Workflow Studio

Draw the process

One SAP event in, conditions and branches, a card out to each approver — and you change it yourself when the business changes.

Looply Workflow Studio canvas: an event trigger feeds a branch conditional that fans out into supplier payment, subcontract PO, purchase requisition, leave request and other adaptive card actions
Looply Template Designer: card elements panel beside a live purchase requisition card preview with Approve and Reject buttons
Template Designer

Build the card, see it live

Drag in fields, buttons and tables. The preview updates as you edit. No code.

Looply Notifications Centre: mailboxes showing All 212, Awaiting Action 58 and Actioned 149, with status badges on each row
Notifications Centre

Nothing quietly disappears

Awaiting Action and Actioned in one inbox — even if the card scrolled past in a busy channel.

A custom Teams app per department. IT approves before deployment and owns the lifecycle.

Overview dashboard

Know what ran, and what stalled

Executions, completion rate, failures and recent activity — without asking anyone.

  • Completion rate and failure count at a glance
  • Recent runs with status and timestamp
  • Adoption by app, so you can see what is actually used

Use cases

Start with one process

Arch ships 18 ready demonstrations. Purchase requisition, purchase order and SAP MDG approvals come as packaged services.

Purchasing

Requisition and PO approvals with full detail and a comment box. Packaged service.

Finance & spend

Journal verification and supplier invoices. Coupa claims travel the same route.

Master data

SAP MDG and SimpleMDG change requests as cards, not emails. Packaged service.

HR & people

Leave approvals, data validation prompts, sign-off on HR letters and contracts.

SAP inbox in Teams

Mirror the SAP inbox into a refreshable card. A no-code place to start.

Compliance

Policy acknowledgements collected automatically. MFA before sensitive cards.

How it connects

No re-platforming required

A lightweight ABAP component in SAP, a managed cloud engine, and the Teams tenant you already have.

Case studies

Looply in production

Public sector

100,000 submissions a year, moved into Teams

Sunderland City Council · 3,000+ employees

Time-related payments, leave and expenses all waited on someone opening a separate system. Looply delivered the existing Fiori approvals straight into Teams chat, then went mobile.

“Looply will change the way we work… staying in one communication channel, saving managers time and effort.”David Freeman, IT Solutions Manager
Infrastructure & engineering

Task order approvals across a subcontractor network

Amey

Task orders lived in personal mailboxes and individual drives. Looply moved the approval step into Teams as adaptive cards, replacing the email chain.

“The software has given us the ability to create a standardized approach and has provided visibility on tasks and costs.”Alana Murray, Commercial Manager, TI Hub
How a rollout runs

Six phases, about nine weeks

Arch's reference plan for a first process. DKM Ecosystem runs it with you, in your time zone.

Weeks 1–2

Mobilize

Align stakeholders, assess the landscape, agree success criteria.

Weeks 2–3

Set up

Deploy Looply, connect Entra ID, SAP and Teams. Validate mobile.

Weeks 3–5

Build

Model the flow, design the cards, configure the SAP integration.

Weeks 5–7

Test

Integration, performance, UAT with real approvers, security check.

Weeks 7–8

Prepare

Production deploy, user training, support route in place.

Weeks 8–9+

Launch

Phased go-live with hypercare, then plan the next process.

Governance

SAP stays the system of record

Work moves to Teams. Authority does not move out of SAP.

Decisions governed in SAP

Recorded and audited exactly as before. Existing workflows stay where they are.

SAP authorizations enforced

SAP users map to Entra ID identities. Teams changes the channel, not the permissions.

No data held, no lock-in

Looply stores no SAP data. Remove it and approvals fall back to SAP channels.

FAQ

Questions, answered

Does Looply replace our existing SAP workflows?

No. Workflows stay in SAP S/4HANA, on SAP BTP or wherever they live today. Looply listens for outcomes and delivers the task into Teams. Stop using it and approvals fall back to existing SAP channels.

Does anything need to go into our SAP system?

A lightweight ABAP component, acting as the secure access point to SAP workflows, business events and APIs. It holds SAP Clean Core certification, does not modify SAP standard objects, and is upgrade-safe.

Do we need SAP BTP?

No. Looply connects directly to SAP core or via BTP, depending on where your workflows are defined. SAP ECC and S/4HANA are both supported, including landscapes running both during a transition.

Are approvals really being made outside SAP?

No. The action happens in Teams, but the decision is recorded, governed and audited in SAP exactly as before. Looply is not a system of record and stores no SAP data.

How is this different from Power Automate or Copilot?

Those are strong at dashboards and conversation — but the user has to go and ask. Looply is push-based: the work arrives in front of the person who must decide. Arch puts a full deployment at 6–9 weeks, against 6–12 months of assembling the equivalent from separate pieces.

Do our approvers need SAP training?

They act on a card in Teams that needs almost no explanation, and no special Teams client is required. SAP authorizations still decide what each person may act on; SAP user licensing remains a matter for your SAP agreement, which we work through with you when scoping.

How does Looply know there is something to approve?

SAP business events, API triggers, or polling for constrained and legacy systems. That last option is why older ECC landscapes without modern eventing can still be covered.

Is it suitable for regulated or public-sector environments?

Yes. SAP authorizations are enforced, SAP stays authoritative, and cards carrying sensitive data can require multi-factor authentication first. Much of Arch's published reference base sits in UK public sector and regulated industries.

How is Looply priced, and how do we start?

It depends on the processes in scope and the number of users, so DKM Ecosystem quotes in your local currency once we understand the requirement. Most organizations start with a single approval — purchase requisition, purchase order and SAP MDG come as packaged services.

Why buy through DKM Ecosystem rather than directly from Arch?

As Arch's Master Distributor for APAC, DKM Ecosystem holds the regional distribution rights for Looply — and adds local-currency billing and compliant invoicing, Chinese-language support in your time zone, process design and integration delivery, training and ongoing vendor liaison.
